Seven Steps To Protect Your Data
The seven most important steps you can take towards ensuring that your data (and that of other users) is kept safe are outlined below.
1 Keep your virus checker up-to-date. The virus checkers on all the group's computers are currently set to automatically update.
2 Use a firewall. All the Windows XP computers have a built-in firewall, which must remain turned on at all times.
3 Make sure that Windows is kept up-to-date using Microsoft Windows Update. All the Windows XP computers are set to automatically download and install critical updates.
4 Backup your data on a regular basis. You are responsible for backing up your data stored on any of the group's computers (including the instrument computers). All the computers in D31a have integral CD burners; the others can use either the portable CD burner, or the network/floppy disk to transfer the data to another computer for backup.
If you transfer your data to another computer as a temporary backup, please don't forget to delete the data once it has been copied to a CD.
5 Use a spyware detection and removal program. All our networked computers have Spybot Search and Destroy installed, which protects gainst programs that can collect and distribute data from your computer without your permission. Ad-Aware SE is another such program which is also highly recommended, however it is not yet installed on all our computers.
Spybot Search and Destroy and Ad-Aware SE should both be updated periodically (see the frequently asked questions page). Flowcharts for using both these programs are available below.
6 Never put critical data into shared folders. For example, Drive C, the Users folder, the Programs folder, and your entire personal data folder should never be shared.
Try to keep all your data in your personal folder, located in the Users folder, to minimise the chances of your data being accidentally deleted.
7 You should never divulge the password for our group's computers to anyone outside the group. Please do not change the password for the Armes Group account, so that we are never locked out of our data.
